How to create & manage Vidyard Rooms

You can manage your existing Rooms and create new ones from the Rooms Library in your Vidyard account.

In this article, you'll learn how to:

  • Create new Rooms
  • Edit your Room's name and logo
  • Sort and find Rooms in your library
  • Delete a Room
  • Join and edit your team members' Rooms (applies to Vidyard Business plans)

Create a new Room

  1. Sign in to your Vidyard account
  2. Select Rooms from the main menu, then click on New Room Creating a new Room in Vidyard from your Rooms Library
  3. Enter a name for your Room, then select Upload to add a logo
    • Supported file types include .png, .jpg, .jfif, or .gif formats (max 2MB in file size)

After you've selected Create Room, you can click on the Settings icon at the top of the Room to add a header and body paragraph. Use this "About section" to tell others about the purpose of the Room.

Note: If you want to make a new Room but have reached the limit for your account, you can delete an existing Room to free up space.

Edit your Room's name or logo

You can update your Room's name or logo at any time, without any disruption to your visitors.

  1. Select Rooms from the main menu in Vidyard
  2. Open the menu (3 dots) next to the Room you want to edit, then select Edit Settings
  3. Change the Room's name and/or upload a new logo, then select Update

Sort and find Rooms in your library

Your Rooms Library is separated into 2 categories: My Rooms and All Rooms (Applies to Vidyard Business plans).

  • My Rooms: Here you'll find any Rooms that you've created or that you participate in
  • All Rooms: In Vidyard Business plans, All Rooms contains your own Rooms, plus any Rooms that belong to team members or other users within your account. Learn more about joining team members' Rooms.

Delete a Room

You can delete a Room whenever it is no longer needed. When you delete a Room, contributors will no longer be able to access the Room.

Any comments in the Room are deleted. Any links, files, and videos shared in the Room will no longer be available to contributors, unless links to these resources have otherwise been shared in another location. Deleting a Room is permanent and cannot be undone.

  1. Select Rooms from the main menu in Vidyard
  2. Open the menu (3 dots) next to the Room you want to delete
  3. Select Delete, then Delete  again to confirm

Join and edit your team members' Rooms

Applies to: Vidyard Business plans (Essentials, Growth, Enterprise). You must belong to a team with either the Edit Rooms by this team or Edit Rooms by all teams setting enabled.


If you belong to a Vidyard Business plan with your colleagues, you might engage with buyers and other external stakeholders in Rooms as a team effort. To make it easy to join in and collaborate, administrators in your account can enable team settings that allow users to see and edit Rooms owned by other team members.

When team settings for Rooms are enabled, you can see Rooms owned by other team members in your library and join their Rooms as an Editor.

  1. Sign in to your Vidyard account
  2. Select Rooms from the main menu
  3. Click on All Rooms to see other users' Rooms
  4. Open the menu (3 dots) next to a Room:

Leave a Room

When you no longer want to participate in a Room, you can leave the room by removing your own access.

When you leave a Room:

  1. Sign in to the Room that you want to leave, then select Share
  2. Open the dropdown menu next to your name
  3. Select Remove Access, then select Leave to confirm Removing your own access to a Vidyard Room
