You can share videos, files, and links to external resources in your Room, allowing you to collaborate with other contributors and keep multiple stakeholders informed in real-time—all from one central location.

Role requirements
Each contributor in a Room is assigned a role. Roles determine how you can use the Room, including adding videos and links. Learn more about roles in Rooms.
- You must be an Editor to add links and upload files from your computer
- To share videos you must be the Room Owner OR a team member in the same account as the Room Owner (applies to Vidyard Business plans)
Add a video to your Room timeline
As the Room Owner, you can add videos and playlists to the Room timeline to share with visitors.
- Sign in to your Room, then select + Add Video to open your video library
- Select one or more videos to share
- Selecting multiple videos creates a playlist
- Click on "Selected" to change the order of the videos in the list
- Select Add to share the video or playlist to your timeline
Upload a file from your computer
As the Room Owner or an Editor, you can upload files like PDFs, spreadsheets and presentations to your Room. Visitors can select a file to view it or download to save a copy to their computer.
You can upload the following supported file types: .pdf, .txt, .doc, .docx, .xls, .xlsx, .ppt, .pptx, .jpeg, .png, .svg, .csv
Maximum file size is 25MB per file.
- Select + next to Documents to add a new file
- Click Upload file
- You can also drag and drop a file into the Upload box
- You can also drag and drop a file into the Upload box
- Select a file from your computer to upload
Add links to external resources
As the Room Owner or an Editor, you can add links to helpful resources that visitors to the Room can open and review.
- Select + next to Resources to add links to helpful external resources
- Enter a URL in the Link field, then use the Text field to label each link
- Click Add to finish
Change the order of your videos or links
As the Room Owner, you can change how your videos and resource links are organized for other people in the Room.
Reorder your videos
- Select the sort order button in the top-left corner of the Room
- Use the dropdown menu to select one of the following options:
- Newest to Oldest
- Oldest to Newest
- Custom — drag and drop your videos into any order
- Select Confirm when finished
Reorder your resource links
- Select the Settings icon next to Resources
- Use the dropdown menu to select one of the following options:
- Newest to Oldest
- Oldest to Newest
- Custom — drag and drop your links into any order
- Select the Settings icon again when finished
Remove videos, links, or files from your Room
Depending on your role, you can remove videos, links, or files from the Room if they are no longer needed.
- Remove videos: Select the settings icon next to a video in the Room timeline, then select Remove (you must be the Room owner to perform this action)
- Remove files: Select the settings icon next to Documents, then select the 🗑️ trash icon (you must be the Room Owner or the person who uploaded the file to perform this action)
- Remove links: Select the settings icon next to Resources, then select the 🗑️ trash icon (you must be the Room Owner or an Editor to perform this action)
Frequently asked questions
Is there a limit to the number of videos, links or files I can add to a Room?
You can share a maximum of 50 videos or files in a Room at once. Files must be 25MB or smaller in size.
If you need more space, you can remove videos from your timeline or remove files from your Documents list that are no longer needed.
There is currently no limit on the number of links you can add to your Resource list.
Do I get notifications for activity in my Room?
If you have Room Notifications enabled in your user preferences, you receive notifications for a variety of activity in your Room, including:
- when someone visits your Room
- someone views a video in your Room
- someone comments on a video in your Room
- someone @mentions you in a comment
