How to manage users in a campaign

As the owner of a campaign, you can share it with other users or teams by adding them from your account. 

Anyone added to a campaign can create videos using their avatar and participate in the campaign workflows you've set up.

Adding users or teams to your campaign

You can invite individual users or entire teams in your account to a campaign you own, and they'll receive an invitation both on the Vidyard platform and by email. Once they select an avatar, they can create videos or have videos created for them using that campaign's workflows.

If you add a team to your campaign, any new users added to that team will automatically be given access to it.

1. Select Campaigns from the main menu
2. Choose a campaign from the list, then select Add Users 
   • If the campaign was created before the Add Users feature was released (Jan 2026), you'll need to select Update to add users to your campaign. Users who created videos with this campaign will automatically be added to it after updating.
3. Enter the names or email addresses of any users, or names of the teams you'd like to add to the campaign, then Add to confirm

Removing users or teams from a campaign

If you remove a user or a team from a campaign, they will no longer be able to create videos in that campaign, and any workflows they are a part of will no longer generate videos for them. You can add any removed users or teams back to the campaign later if needed.

1. Select Add Users in a campaign, then Manage
2. Select the menu (Added) next to a user or team, then Remove

3. Select Remove again to confirm

   

Changing the owner of a campaign

As the campaign owner, you can transfer ownership to other users if necessary. The campaign owner is the only person who can edit the campaign or add and manage users. There can only be one owner at a time.

Please note that when you make someone else the campaign owner, you will no longer be able to edit the campaign or manage ownership; the new owner will need to make any necessary changes. You will remain a part of that campaign's workflows, and can still create videos with the campaign.

1. Select Add Users in a campaign, then Manage
2. Select the menu (Added) button next to a user, then Make Campaign Owner

3. Select Transfer to confirm 

   

Joining a campaign

If a campaign owner adds you to a campaign, you'll receive a notification through email and within your Vidyard account. 

When you open a campaign you've been added to, you'll be able to select the avatar you'd like to use to create videos both within Vidyard and any connected workflows. If you haven't selected an avatar, the one you last created will be used by default.

Leaving a campaign

If you no longer want to use or be part of a campaign, you can leave at any time. Leaving a campaign means you'll no longer be able to generate videos with that campaign, and you will no longer be a part of any connected workflows.

If you're a member of a team that was added to the campaign and you want to rejoin, you'll need to be re-added individually.

1. Select Campaigns from the main menu, then choose the campaign you want to leave
2. Select the menu (3 dots) button, then Leave Campaign
3. Select Leave Campaign again to confirm
