You must be an Admin in your Workspace to manage users.

As a workspace Admin, you can help manage the people in your workspace. You can add new peopleresend invitations, and remove people who no longer want to participate in the workspace.

Add people to your workspace

You can invite any person to join your workspace so long as they have a Vidyard Free account.

When you add a new person to your workspace, they will receive an email with an invitation to join. If they do not already have a Vidyard Free account, they can sign up.

  1. Sign in to your Vidyard account
  2. Select Workspace Management > Users from the main menu, then Add UsersSelecting the Add Users butto on the Users page in your workspace
  3. Enter the email address of 1 or more people that you want to add to the workspace
    • Press Return or Tab on your keyboard after you add an email address to enter another
    • You can also copy and paste a comma-separated list (CSV) into the text field to add multiple email addresses at once
  4. Select the team you'd like to add the users to, then Add to finishEntering the email addresses of the people you want to invite to your workspace, selecting a team, then selecting Add to complete the action

Resend a workspace invitation

If a person is having trouble finding or accepting their invitation to the workspace, you can resend the email invitation from the Users page in Vidyard.

Anyone who has not yet accepted their invitation to join will have a status of Pending Invite under the Last Active column.

  1. Select Workspace ManagementUsers from the main menu
  2. Open the menu (3 dots) next to a person, then select Resend Invitation
  3. Select Send to finish

Manage requests to join your workspace

Anyone who signs up for Vidyard Free with a business email address that matches the domain of the person who created the Workspace can request to join that Workspace. Members of the Admin team can then choose to allow or deny that request.

  1. Select Workspace Management > Users from the main menu
  2. Select Manage Requests Vidyard Users page with button to manage requests selected at the top of the page
  3. Use the dropdown menu to accept and assign the person to a team, or select the trash icon to reject the request Manage Requests screen with team selection dropdown open next to a user that requested to join the account

Change a user's team

Workspaces have two teams, Admin and User. Admins have the same access as Users, but have the additional ability to:

  • add new users
  • accept requests to join the account
  • change users' teams

Outside of the original Admin user (the person who created the Workspace), any new invitees are placed on the User team by default. You can change a user's team at any time from the Users page.

  1. Select Workspace Management > Users from the main menu
  2. Click on the menu (3 dots) next to a user, then select Move
    • You can also select more than one user from the list in your account, then click the Move Users button at the top of the page Vidyard Users page with user menu open and move teams selected
  3. Select the team you'd like to move the user(s) to, then Move to finish Move Users screen with team selected and move confirmation selected

Remove a user from a workspace

If someone no longer wants to participate in a workspace, you can remove them from the workspace altogether.

When a person is removed, they receive an email letting them know that they are no longer part of the workspace. Any videos contained within the person's personal folder leave the workspace with them. They can continue to sign in to Vidyard and access their personal videos in an individual Free account.

  1. Select Workspace ManagementUsers from the main menu
  2. Click on the menu (3 dots) next to a user, then select Remove 
  3. Select Remove again to confirm
