What data does Vidyard collect about viewers?

Vidyard is a video platform for business. Our technology is used to collect detailed analytics to provide customers with meaningful insights into the performance of their videos—analytics like number of video views, viewer attention spans, engagement trends, conversions rates, and more.

Any personal data that Vidyard collects about viewers is used to help our customers understand who is watching their videos in addition to how those videos are being consumed.

The purpose of this article is to help you understand what personal data Vidyard’s technology may collect from viewers. It describes the circumstances under which personal data is collected, as well as the purpose for which personal data is collected.

The collection of personal data described in this article is distinct from information that may be collected through your direct interactions (as a customer or free user) with Vidyard the business. That relationship is explained in our Privacy Policy.

What viewer data does Vidyard collect?

Viewer data

There are 4 primary pieces of data that Vidyard can collect about viewers: email address, first name, last name, and company. Some or all of this information is obtained as part of the methods used to identify viewers when they watch a video:

  • Forms: Vidyard allows customers to add forms to their videos to obtain email, name, and company. Viewers can elect to submit information about who they are.
  • Tracking tokens: Vidyard allows users to send a link to a video in an email message. A unique token is used to associate the video view with the email address of the recipient.
  • Data integrations: Vidyard integrates with several third-party marketing and CRM tools such as Marketo, Salesforce, Oracle Eloqua and HubSpot. These integrations leverage browser cookies to obtain and share information about an identified viewer.

Browser data

Vidyard also collects information that web browsers commonly make available to online services about a viewer including their IP address, type of browser, and device. This data is collected whenever a viewer loads a page where a Vidyard video is present.

Additional data provided by viewers

Vidyard customers are free to include custom fields on a form to capture additional information from viewers beyond their email address, first name, last name, and company. Viewers may elect to submit any additional information at their own discretion.

Additional data provided by customers about viewers

Vidyard offers services that allows customers to render videos with personalized details unique to each of their viewers. Customers use data from their own internal records (e.g. a viewer’s name or company) that they have already obtained via their own website, marketing activities, or from information provided by their own clients. This data is transferred to Vidyard so that personalized videos may be created.

Note: In countries where laws governing data privacy apply (e.g. the EU’s GDPR), Vidyard can be configured in order to assist customers in meeting their privacy compliance requirements. Learn more about Vidyard and GDPR compliance.

Why does Vidyard collect viewer data?

Vidyard collects viewer data as part of the service that we provide to help customers use and understand the impact of video on their business. Vidyard only uses personal information from viewer data for the purpose of providing this service to customers through our video platform.

Viewer data

Email address, first name, last name, and company are used to:

  • Create viewer records in Video Insights 
  • Provide email or browser notifications to users whenever a video is viewed
  • Include viewer data in analytics reports that customers generate
  • If applicable, create and populate contact records in integrated marketing automation or CRM tools

Browser data

IP address, browser type, and device type are used to:

  • Provide analytics to Vidyard users in dashboards and reports about where their videos are being consumed and with what browsers and device types
Note: information like IP addresses are not associated or compiled with individual email addresses or other personally identifiable information

Additional data provided by viewers

Any additional data that viewers have elected to provide through a form is used to:

  • Provide information in analytics reports that customers generate on video viewership
  • Create personalized videos with viewer information

Additional data provided by customers about viewers

Any additional data that customers may provide from their own internal records is used to:

  • Create personalized videos with viewer information

Can a Viewer obtain or remove information Vidyard has collected about them?

Yes. You can submit a data subject request to the company whose video you’ve watched in order to access, update, or forget any personally identifiable information (PII) that they may have obtained about you (typically associated with your email address).

If you’ve watched a Vidyard video on a company’s website and have questions about what personal information they may have obtained, contact our Data Protection Officer at privacy@vidyard.com. It is Vidyard’s policy to help you get in contact with our customer to make a request regarding your personal information.

When you make a data subject request, it should encompass any personal information that the company stores within their own databases, as well as any third-party tools that the company uses (e.g. Vidyard). The request is then passed to Vidyard as a sub-processor of the company’s data.

When Vidyard receives a request from one of our customers to forget your personal information, we ensure that your personal information is deleted in its entirety and that any other data associated with your email address is completely anonymized in our database. In some instances (such as maintaining a record of the request or maintaining a do-not-contact list etc.), your email address will be kept on file for limited purposes as allowed by applicable law.
