On Business plans, users must have the Push videos to YouTube permission enabled.

With Vidyard's integration for YouTube, you can publish any video in your library directly to a connected YouTube account.

When you publish to your channel, Vidyard directly uploads the video so that it plays natively within YouTube. You'll find the video alongside the rest of the content in your channel's library.

In this article, you'll learn how to:

Publish your video to YouTube

  1. Sign in to your Vidyard account in a browser, then select Library from the main menu
  2. Select Share next to a video, then click on the YouTube icon Vidyard share page with option to push video to YouTube
  3. Select a connected YouTube account to publish your video to, then click Continue
  4. Edit the video details that you want to publish to YouTube (title, description, tags, thumbnail, captions), then click Continue
  5. Select a privacy setting for your video (public, private, or unlisted), then click Continue Selecting which video details you want to publish to YouTube, along with the privacy setting
  6. Review your selections, then click on Continue to Publish Changes to finish Confirmation of publishing all chosen details and creating a new video on YouTube

Schedule a video to publish later

Applies to: users in Business (Essentials, Growth, Enterprise) accounts

During the steps to publish your video, select either Publish now (along with a privacy setting), or Schedule for later.

If you choose Schedule for later, your video will be published to YouTube as private; then, at the selected time and date, automatically become public on your channel.

Sync changes to your published video on YouTube

Whenever changes are made to your video on Vidyard, you can use Sync to keep the corresponding, published video on your YouTube channel up-to-date.

Syncing allows you to copy the updated video details from Vidyard (title, description, thumbnail, tags, and captions) and overwrite your published video on YouTube.

A notification banner will appear in Vidyard to inform you that a change has been made to your video, and that you can choose to sync the updates over to YouTube.

Go to the Locations panel for your video in Vidyard to perform a sync.

  1. Select the video from your library, then go to Video > Locations in the side menu
  2. Select Sync next to the YouTube channel where you want to update your published videoUnder the Locations panel on the video editing page, selecting the Sync button to update your video on YouTube
  3. Choose which details from Vidyard you want to copy to YouTube, then select Continue
  4. Select a privacy setting for your video (public, private, or unlisted), then select Continue Pages showing elements that can be changed on the synced copy on YouTube
  5. Click on Continue to Sync Changes to finishLast steps in the process to review and confirm that you want to sync changes to your video on YouTube

See views from your published videos in Vidyard

Applies to: users in Business (Essentials, Growth, Enterprise) accounts

Vidyard keeps track of the number of views that published videos receive on your connected YouTube accounts. This allows you to review video performance across different channels from a single dashboard.

Look for YouTube under the View Locations graph in the Insights Dashboard to see the number of views from published videos:

  1. Sign in to your Vidyard account in a browser
  2. Select Insights > Dashboard from the main menu
    • If necessary, select Change Folders to switch your view of the insights in your account (account-wide versus a specific folder)
  3. Find YouTube under the View Locations graph
    • If you want, use the search bar at the top of the page to filter results to a specific video
Looking at the View Locations graph in the Insights Dashboard to see the number of views publish videos on YouTube have received over a period of time
Note: Views from YouTube are typically made available daily; however, because it takes time to validate the legitimacy of views (i.e. that the views came from an actual person), YouTube states that there can be "a delay of a few days". As a result, the number of views you see in Vidyard may differ from the views in YouTube analytics.

Manage your published videos in Vidyard

Each video in your account has a Locations panel to help you keep track of where your video has been embedded or shared, including your YouTube channels.

Use the Locations panel to make changes to your published video and manage the connection between your Vidyard and YouTube accounts.

  1. Select a video from your library, then go to Video > Locations
  2. Open the menu (the 3 dots) next to a listed YouTube account, then select an option to manage your video

Video edit page showing YouTube sync menu and options on managing connection

The table below explains each of the options you have to manage your published video:

Option Description
Sync

Use Sync to keep the published video on your YouTube channel up-to-date with the latest changes to your video's details in Vidyard.

Choose to copy over any details from Vidyard, including the video title, description, thumbnail, tags, or captions.

You can also change the privacy setting of your published video on YouTube.

View on YouTube Go directly to your published video on YouTube in a new browser tab
Unlink from YouTube

Remove the link between the video in your Vidyard account and the published video on YouTube. This action cannot be reversed.

Unlinking a video means that...

  • you can no longer sync your video details from Vidyard to the published video on YouTube
  • any future views that the published video receives on YouTube will not appear in Vidyard's Insights (applies to Business accounts)
Account Connection

Go directly to the Apps & Integrations page to manage the connection between Vidyard and your YouTube account. From there you can:

  • add additional YouTube accounts
  • reconnect the integration
  • delete the integration

Troubleshoot status messages and errors

Because Vidyard uploads your videos directly to YouTube, you may encounter 1 or more status messages to indicate the progress of your upload, or whether a problem occurred that requires you to take action.

You can find status messages in a video's Locations panel in Vidyard. The table below explains each status, and what steps you can take to resolve any errors.

If you are unable to resolve a problem with YouTube, contact our Support Team for further assistance.

Status message Steps to take
Scheduled for... No action required. Your video is scheduled to be published to YouTube at the indicated date and time.
Last synced on... No action required. Indicates when the video was last synced to YouTube.

Out of Sync

Occurs when a change has been made to your video's title, description, thumbnail, tags, or captions.

You can choose to use Sync to keep your published video on YouTube up to date with the latest changes in Vidyard.

Note that Out of Sync only applies to your video's metadata (title, description, etc.). This status does not affect the tracking of YouTube view counts in Vidyard's Insights.

Failed to Publish

Occurs when the video that you want to publish does not meet, or exceeds, one of YouTube's upload criteria

Failed to Sync

Occurs when something prevents Vidyard from making an update on your video on YouTube

  • The video you want to update on YouTube no longer exists (has been moved or deleted).

  • You may have reached YouTube's daily upload limit. Wait 24 hours, then try again.

Partially Published

Occurs when Vidyard has published your video to YouTube, but was not able to upload your video's thumbnail or captions.

  • Make sure your YouTube account is verified. Only verified accounts can upload custom thumbnails.

  • The thumbnail for your video may exceed YouTube's 2MB size limit. Upload a thumbnail image with a smaller file size, or select a thumbnail for the video on YouTube once it has been published.

  • Something unexpected happened and we could not publish some or all of your video's captions. Please try to Sync captions again. Contact Vidyard Support if the problem persists.

Missing Connection

A problem has occurred with the connection between Vidyard and your YouTube account. Reconnect the integration.

You may typically be asked to reconnect the integration if:

  • YouTube updates their Terms of Service and requires third-party apps (like Vidyard) to ask the user to accept the new terms

  • A user removes Vidyard's access to your YouTube account in Google's data & privacy settings

Select Account Connection next to an account in the Locations panel to reconnect the YouTube integration

Missing Video

We can no longer find the published video on YouTube.

The published video no longer exists on YouTube. As a result:

  • Vidyard can no longer sync changes to the published video
  • Vidyard is no longer collecting views from the publish video on YouTube (applies to Business accounts).

After 30 days, Vidyard will remove data associated with the published video on YouTube. This means that:

  • all existing views that the published video received on YouTube and that are displayed in Vidyard's Insights will be removed (applies to Business accounts).

Alternatively, select Remove to unlink the video with YouTube and delete data associated with the published video prior to 30 days. You can then publish the video to YouTube again, if needed.

Frequently asked questions

Why are Vidyard's settings and features not showing up on YouTube?

When you publish to YouTube, Vidyard directly uploads the video file to your channel. This means that, on YouTube, your published video uses YouTube's native video player.

With your published video, you can then take advantage of YouTube's built-in functionality and its importance as a top-of-funnel marketing channel. However, advanced features from Vidyard (design & access settings, notifications, CTAs, video insights, and integrations with MAP/CRM platforms) are not available or usable directly on YouTube.

What details from my video can I publish to YouTube?

The set of details from your video that you can publish to YouTube differs based on your Vidyard account type (Free, Pro, Business).

For example, Free and Pro accounts do not have the ability to add captions or tags to their videos in Vidyard, so these values cannot be copied over to YouTube. However, when you first publish a video, you do have the opportunity to enter a description and tags that you would like the video on YouTube to have once it has been published.

Regardless of your Vidyard account's plan type, you can always edit the video on YouTube to add your own captions, tags, or other details.

Captions No Yes (captions must be published in order to upload to YouTube)
Privacy Yes, you can choose one of YouTube's privacy settings when you publish or sync changes to your published video
*We cannot upload animated thumbnails to YouTube at this time. Instead, YouTube will set a default thumbnail once the video has been uploaded; you can edit the thumbnail on YouTube at any time.

Can I choose whether viewers are allowed to embed my published video?

Once the video has uploaded, you can change the setting to Allow embedding on your published video in YouTube.

Vidyard does not set or change this setting when you publish to YouTube or use Sync to update the video.

Can I publish a playlist to YouTube?

No, you can only publish individual videos from Vidyard to YouTube. However, you can create a playlist on YouTube once your videos have been uploaded.

Will Vidyard overwrite or delete my videos on YouTube?

Vidyard will only ever overwrite your published video's details on YouTube if you or another member of your account with permission uses the Sync option to copy over updated details about the video (title, description, thumbnail, etc).

Vidyard never deletes any videos or other assets, like captions, on your YouTube channel.

How do I know when changes have been made to my video on Vidyard?

A notification banner will appear at the top of your video's edit page in Vidyard to inform you that a change has been made, and you can choose to Sync the updates over to YouTube. Only users with the Push to YouTube permission can see or action the banner.

You will also notice that the status of the video appears as Out of Sync in the Locations panel.

You may have to cross-reference with YouTube to identify which video detail was updated (title, description, thumbnail, tags, or captions). Open the menu next to the out-of-sync account in the Locations panel, then select View on YouTube to go directly to the video.

Do I have to sync changes to YouTube every time I make an update in Vidyard?

No. In fact, you may choose to have a different title, description, thumbnail, tags, or captions on Vidyard versus your published video on YouTube. The Sync button simply provides you with the option to easily keep your videos on both platforms aligned.

In order to resolve the Out of Sync status, you must use the Sync button in the Locations panel. Alternatively, it is also okay to leave a video with this status until later.

Does Vidyard update my published video on YouTube if I use Trim or Replace?

Changes made to your video in Vidyard using either Trim or Replace do not apply to your published video on YouTube.

In fact, both Trim and Replace overwrite the original video file in Vidyard, and therefore cause your video to unlink with YouTube. Unlinking means that:

  • you can no longer sync your video details from Vidyard to the published video on YouTube
  • any future views that the published video receives on YouTube will not appear in Vidyard's Insights (applies to Business accounts)

This action cannot be reversed.

How do I reconnect Vidyard to YouTube if there's a problem with the integration?

If you encounter a Missing Connection error, you may need to Reconnect the integration with Vidyard to resolve the problem.

When an account is in a disconnected state, you have 30 days to reconnect, after which YouTube requires that we remove data associated with the integration. Learn more about reconnecting your account.

  1. Select the video that you're trying to publish or sync to YouTube
  2. Go to the Locations panel (Video > Locations )
  3. Open the menu (3 dots) next to the YouTube account with the error, then select Account ConnectionSelecting the Account Connection button from the video Locations panel
