How to export your video analytics in a report

Download your analytics to get a top-down view of video performance and engagement

You can access valuable insights about your videos' performance and viewer engagement anytime in Vidyard by looking at the Insights Dashboard. But is sometimes you may need to export your video analytics into a spreadsheet to customize and change how you review your data.

You can download your video analytics in an Excel (.xlsx) file from the Reports page in your account. A report can help you answer questions like:

  • Which of my videos are converting best?
  • What are my top performing videos in terms of views, watch time, and viewer attention span?
  • Where are my videos located and being watched?
  • Where are my viewers located? What devices/browsers do they use?
  • Who are the viewers that I was able to identify from my videos?

Choosing a folder to export data from

Your video analytics are organized in Vidyard by folder. Switching into a different folder changes what "view" you receive of the analytics in your account.

Because analytics roll up from the various subfolders you can change what group(s) of videos you want to include by creating a report at a specific level of the folder structure.

Use the Folder Menu in your library to switch between folders and change your view.

For example:

  • A report created in the "Sales" folder will also include analytics from videos in the 2 subfolders nested beneath it, “Pitches” and “Customers”.
  • A report created from the “July Campaign” folder does not contain any subfolders and will only include analytics from the videos in that particular folder.

Create a new report

  1. Sign in to your Vidyard account
  2. From the main menu, select Insights > Reports
    • If needed, select Change Folder to switch into a different folder
  3. Select New ReportGoing to the Reports section in Vidyard, then selecting New Report
  4. Follow the steps to build your report:
    • Select report categories
    • Add filters
    • Select a date range
    • Confirm your report details

Report categories allow you to choose the types of video and viewership data that you want to include in your report. 

Use the checkboxes to select 1 or more categories, then select Next Step to continue.

Add filters to your report

Use filters to narrow the scope of your report and include only data from videos that you want to review.

Select Add Filter next to Specific Videos and/or Specific Users to modify the data included in the report.

Here's a breakdown of each filter option:

Filter Option Details
Specific Videos

Include only data from select videos in the report.

Use the search bar to locate specific videos. You can search by:

  • Video Title
  • Description
  • Tags
  • Internal Notes
  • Video UUID (case sensitive)

Selecting specific videos to filter the report data

Specific Users

Include only data in the report from videos that were "Created By" specific users.

"Created By" refers to the user that recorded or uploaded a video to Vidyard.

Select a date range and report occurrence

Your date range specifies the period of time you want to cover in your report.

Select from any of the pre-built date ranges (today, yesterday, last week, or last month), or choose Custom to select a specific date range (maximum of 1 year).

Each option is set in relation to the current date.

For example, if you select Last Week on Thursday Jan 14, the date range will span from the previous Thursday (Jan 7) to the following Wednesday (Jan 13).

If you want to receive a recurring report, use the dropdown menu under Report Occurrence to schedule how often you want receive an updated spreadsheet for the selected date range.

  • Once, Daily, Weekly, Monthly

Note: the time of day that you receive your recurring reports is based on the time when the first report was originally created. 


Confirm report details

Use this step to review your selections (report categories, filters, date range) before exporting the data in your report.

  • Give your report a descriptive name (max 256 characters)
  • Select Generate to start compiling the report

Download your finished report

A link to download your report is provided in the email notification you receive when your report finishes compiling. 

You can also download any previous reports directly from Vidyard:

  1. Select  Insights Reports from the main menu
  2. Open the menu (3 dots) next to your report, then select Download 
    • Your report downloads to your computer as an .xlsx file

Reading the data in your report

A report contains one or more sections based on the data categories you selected, each with its own set of video and viewership analytics. 

Once you've downloaded a report, select any tab in the spreadsheet to review the data in each section.

Here’s a breakdown of the terminology you'll see in the report:

  • Dates & Times: all dates and times in the report use UTC+0 as the time zone
  • Video Name: the name of the video
  • Folder name: the name of the folder where the video is located in Vidyard
  • Video UUID: the video's unique identifier
  • Date Created: the date the video was first recorded or uploaded to Vidyard
  • Created By: the email address of the user that recorded or uploaded the video

Report Overview

Provides an overview of the information included in the report.

  • Any filters that were applied when the report was created (specific videos and/or specific users)
  • The report’s date range and occurrence (once vs. recurring)
  • The types of data (Report categories) included in the report

View Trends & Stats

Shows video views and conversion rates

Global Views -- relates to all videos included in the report

  • Video Loads: the number of times videos loaded on a page
  • Total Views: the total number of views your videos received
  • Unique Viewers: the number of unique viewers
  • Identified Views: the number of viewers who were identified in Vidyard as a result of watching a video

Global Conversion -- relates to all videos included in the report 

  • Conversion rate of videos from loads > views (total and unique) > identified viewers

Individual Videos -- breakdown of data for each video

  • Loads, views, unique viewers and identified viewers

Attention Span

Shows, on average, how much of your videos viewers watch

 

Global Attention Span -- relates to all videos included in the report

  • Attention Span: average amount of your videos that viewers watch (expressed as a percentage)
  • Total Watch Time: total cumulative time that viewers have spent watching your videos (# of days, hours, minutes, seconds)
  • Amount of Content: the total time duration of your videos combined (# of days, hours, minutes, seconds)

Individual Videos -- breakdown of data for each video

  • Attention Span: average amount of the video that viewers watch
  • Average Watch Time: average amount of time (expressed in minutes and seconds) that viewers watched of the video
  • Total Views: number of views the video has received

Top Performing Videos

Ranks videos based on number of views, total watch time, and attention span

Individual Videos -- breakdown of data for each video

  • Total Views: number of views the video has received
  • Average Watch Time: average amount of time on a video (expressed in minutes and seconds) that viewers watched. Average Watch Time can exceed the total duration of the video (e.g. if a viewer re-loaded and watched the same video multiple times)
  • Attention Span: average amount of the video that viewers watch (expressed as a percentage)

View Locations

Shows where your videos are being watched

Global View Locations -- relates to all videos included in the report

  • Domain: the web domain where videos are located
  • Total Views: the number of views your videos received from viewers at the location
  • Number of Videos: the number of videos at the location

Individual Videos -- breakdown of total views by location for each video

  • Domain, Embed URL (the full web address where the video is located), Total Views

Note: a video must load on the page and receive at least 1 view to appear in the View Locations section of the report. Views from videos published to YouTube are not included in exportable reports.

User Performance

Shows how videos recorded or uploaded by your users are performing

 

List of Users

  • Team: the Team in Vidyard that the user belongs to
  • User: the name of the user
  • Email: the user’s email address
  • Videos Created: the number of videos the user has either recorded or uploaded to Vidyard
  • Total Views: total views the user’s videos have received
  • Average Attention Span: on average, the duration of the user’s videos (expressed as a percentage) that viewers watch

Device Viewership

Shows what devices and browsers your viewers use to watch videos

  • Devices: desktop or mobile
  • Viewership Percentage: the percent of your total viewers that use each device
  • Browsers: what browsers your viewers use to watch videos
  • Viewership Percentage: the percent of your total viewers that use each browser

Geographic Locations

Shows the percentage of your viewership from different countries

List of Countries

  • Geographic Location: the country where your viewers reside
  • Viewership Percentage: the percent of your total viewers that live in the geographic location

Viewer History

Shows viewers who were identified as a result of watching your videos

 

Identified viewers -- viewers that Vidyard has been able to identify via a form submission, tracking token, or integration with marketing automation tools

  • Name: first and last name (if provided)
  • Email: their email address
  • Company: (if provided)
  • Date Watched: when the viewer watched the video
  • Viewer Metadata: any additional information that you’ve collected about a viewer using custom fields on a form (e.g. favorite color, shoe size)
  • Video Name: name of the video the viewer watched
  • Attention Span: percentage of the video watched
  • Geographic Location: the viewer’s location (by country)
  • Device: what device the viewer used to watch the video

Expired reports

In order to comply with data protection obligations, compiled reports expire from our database after 21 days.

You can always re-compile an expired report in order to download it again.

  1. From the main menu, select Insights Reports to return to your list of reports
    • Use the Change Folder button if the report is located in another folder
  2. Open the menu next to an expired report
  3. Select Rerun

Deleting a report

You can delete an existing or expired report at anytime.

  1. From the main menu, select Insights Reports to return to your list of reports
    • Use the Change Folder button if the report is located in another folder
  2. Open the menu (3 dots) next to a report
  3. Select Delete, then Delete again to confirm

Frequently asked questions

How will I know when my report is ready?

When a report has finished compiling, the user that created the report will receive an email notification letting them know the report is ready. They can then download the repot to view the compiled data.

Can I change who receives the "report is ready" notifications?

No, at this time you cannot change the recipient of the email notification. You also cannot indicate more than 1 recipient to receive the email notification.

Why can't I set my report to recur?

If you have set your report to have a custom date range, the report cannot be set to recur. Only reports using the pre-built ranges (Daily, Weekly, Monthly) can be set to recur.

When will I receive my recurring report?

Your recurring report will begin to compile at the same time of day that the initial report was created. For example, if you run the first report at 2:56pm EST and set it to recur daily, each subsequent report starts to compile at 2:56pm EST every day.

The time it takes to compile a report can vary based on how much data needs to be processed.
