Download your analytics to get a top-down view of video performance and engagement
While you can review most of your video analytics by looking at our easy-to-use graphs in the Insights Dashboard, it is sometimes necessary to export your video data into a spreadsheet for further analysis and customization.
You can export video analytics from the Reports menu in your account. We’ll provide you an Excel file (.xlsx) that contains all the same data that you would find visualized in the Insights Dashboard graphs.
A Report can help you answer questions like:
- Which of my videos are converting best?
- What are my top performing videos in terms of views, watch time and viewer attention span?
- Where are my videos located and being watched?
- Where are my viewers located? What devices/browsers do they use?
- Who are the viewers that I was able to identify from my videos?
Choosing a folder to export data from
You can create a report from any folder in Vidyard that your user has access to. Switching into a different folder changes what “view” you receive of the video analytics in your account.
Because video analytics roll up from the various subfolders, you can determine which set (or sets) of videos you want to include by creating a report at a specific level of the folder structure.
Use the Folder Menu in your library to switch between folders and change your view.
For example:
- A report created in the "Sales" folder will also include analytics from videos in the 2 subfolders nested beneath it, “Pitches” and “Customers”.
- A report created from the “July Campaign” folder does not contain any subfolders and will only include analytics from the videos in that particular folder.
Create a new report
- From the main menu, select Insights > Reports
- If necessary, select Change Folder to switch into a different folder
- Select New Report
- Follow the prompts and proceed through the following sections to configure your report:
- Report Type
- Filter Options
- Date Range (includes Report Occurrence)
- Report Details
- Select Next Step at the end of each section to proceed
Report Type
The Report Type section is an overview of everything that will be included in your report.
At the moment, there is only 1 preset report type that includes the full range of video analytics.
Filter Options
Use this section to filter the information in your report.
Select Add Filter next to either Specific Videos or Specific Users to modify the analytics included in the report.
Here's a breakdown of each filter option:

Include only data in the report from videos that were "Created By" specific users. "Created By" refers to the user that recorded or uploaded a video to Vidyard. |
Date Range & Report Occurrence
Use this section to select the period of time covered by your report.
You can select from any of the pre-built date ranges (today, yesterday, last week or last month) or choose Custom to select a specific date range (maximum of 1 year).
Here's a breakdown of each of the date range options:

If you want to receive a recurring report, use the dropdown menu under Report Occurrence to schedule how often you want receive an updated spreadsheet for the selected date range.
- Once, Daily, Weekly, Monthly
Note: the time of day that you receive your recurring reports is based on the time when the first report was originally created.
Report Details
Use this section to give your report a name (max 256 characters).
Then, scroll down to review the options you've selected (filter options, date range, etc) before running the report.
When satisfied, select Generate to run the report.
The report will begin to compile. You (the user who created the report) will receive an email notification when the report has finished processing and is ready to download.
Reading the data in your report
A report contains several sections, each with a different set of analytics related to your videos and viewership.
Once you've downloaded a report, select the tabs in the spreadsheet to review each section.
Here’s a breakdown of each section in the report and what the terms mean:
- Dates & Times: all dates and times in the report use UTC+0 as the time zone
- Video Name: the name of the video
- Folder name: the name of the folder where the video is located in Vidyard
- Video UUID: the video's unique identifier
- Date Created: the date the video was first recorded or uploaded to Vidyard
- Created By: the email address of the user that recorded or uploaded the video

Expired reports
In order to comply with data protection obligations, compiled reports expire from our database after 21 days.
You can always re-compile an expired report in order to download it again.
- From the main menu, select Insights > Reports to return to your list of reports
- Use the Change Folder button if the report is located in another folder
- Open the menu next to an expired report
- Select Rerun
Deleting a report
You can delete an existing or expired report at anytime.
- From the main menu, select Insights > Reports to return to your list of reports
- Use the Change Folder button if the report is located in another folder
- Open the menu next to a report
- Select Delete
"Your report is ready" email notifications
When a report has finished compiling, the user that created the report will receive an email notification letting them know the report is ready. They can then download the report to view the compiled data.
If the report is recurring (daily, weekly, monthly), the user who created the report will receive a notification each time a new instance of the report is ready.
At this time you cannot change the recipient of the email notification. You also cannot indicate more than 1 recipient to receive the email notification.
