How to create Actions for your Teams
Easily give your Teams the CTAs they need to convert viewers 🎯
Team Actions allow you to create and directly give your users a new call-to-action (CTA) that they can add to their videos in a few simple clicks.
With some action types, you can also personalize the action with information from your users' profiles. This ensures the action is automatically suited to your users and includes details like their first and last name, role, and unique calendar link.

Create a new Team Action
- Sign in to your Vidyard account
- Select the Actions icon from the main menu
- Select New > Team Action

Choose an Action type (Fullscreen, Banner, Email Capture), then click on Create

Edit your Team Action
Depending on the type of action, you can edit several fields (including message and button text), plus a few behavioral settings. Changes made while editing are automatically saved and update the action immediately.
- Edit the text of your action's message and button
- Switch the settings toggles ON or OFF to change how the Action behaves (e.g. Only show the action once, Allow your viewer to skip, etc.)
- Give your Action a name and description under Details
- A good name tells other users what the action is for. Use the description to make notes for other editors.
Here's a quick breakdown of the settings that you can change and their corresponding Action types:

Share your action with Teams
Under the Assignment section, choose which teams to give the Action to. You can also decide how you want to apply the Action to team members' videos.
- Click on + Add Team to select the team(s) to give the action to
- Note: If you do not belong to a team with the Manage Teams setting enabled, you can only assign Actions to your own team
- Select either Suggested to users or Assign by default from the dropdown menu
Here's a breakdown of the 2 assignment options:

Personalize an action with users' information
Personalization ensures that your action is uniquely suited to each team member that uses it with their videos.
With some action types, you can personalize the action's header, subheader, and button link based on the current information from your team members' user profiles, including:
- User's First and Last Name
- User's Role
- User's Calendar Link
Currently only the Quick Fullscreen CTA, our pre-designed fullscreen Team Action, supports personalization.
- Select the Actions icon from the main menu
- Select New > Team Action to create a pre-designed Fullscreen Action
- You can also select an existing Fullscreen Action to edit from the list of Team Actions in your library
- Use the dropdown menu under Text and Button to select a personalized field

Keeping your users' profiles up to date
The personalized fields on your action are based on information from your team members' user profiles in Vidyard, specifically their first and last names, role, and calendar link.
If a user has empty values in their profile, they will be prompted to update the information when they select a personalized action for one of their videos. Otherwise, the back-up fields that you entered when creating the action will be used.
Alternatively, there are 2 ways to keep users' profiles up to date:
- a) Users can sign in to Vidyard and update their own profiles

b) You can bulk update users' profile information by uploading a
.csv
file
How to delete your Team Action
You can delete any unwanted Team Actions from your library, so long as you have permission to Manage Team Actions. When you delete an Action:
- the Action is removed from all videos that it's been assigned to
- any Teams that were given the Action can no longer apply it to videos
- all related Action Analytics are removed from Video Insights
Deleting an Action is permanent and cannot be reversed.
- Select the Actions icon from the main menu
- Click on the menu (3 dots) next to the Action you want to delete, then select Delete
- Select Delete again to confirm your choice
Frequently asked questions
Can I add personalized fields to other types of actions?
Currently only the Quick Fullscreen CTA, our pre-designed fullscreen Team Action, supports personalization.
Moreover, the merge tags that appear in the action preview ({{user.First Name}}
, {{user.role}}
) are not usable elsewhere; for example, in the HTML of a custom action.
Can users override or remove actions that I assign by default?
Yes, users can remove actions from their videos in personal folders, including actions that you have assigned by default. In shared folders, users can remove actions if they belong to a Team with the Edit Videos permission.
Can I assign a default action in the middle of my Teams' videos?
No. Because every video differs in length, it is difficult to effectively set a duration for the action that works across all videos.
If you want an action to appear while the video plays, we recommend that you use the Suggest to users option instead. Users can then pick the action from their list and decide where to position it on the video (before, during, or after playback).
